Setup Guide

Configure Breadbox for your organization in about 10 minutes. Work through these steps in any order — each one makes the platform more useful.

The Five Setup Steps

After signing up and creating your organization, you'll land on the dashboard. Use the sidebar to navigate to each area and complete these setup steps.

Invite your team

Go to Settings → Users and click Invite User. Add your account managers, sales reps, Account Managers, and service delivery leads. Each person is assigned a role that controls their default access.

Roles are pre-configured with sensible defaults — just pick the right one when you invite. You can customize role permissions later in Settings → Roles & Permissions.

Add your first client accounts

Navigate to Accounts in the sidebar and click New Account. Accounts are the central object in Breadbox — everything else (contracts, QBRs, health scores, deals) lives under an account.

Start by adding a few existing managed service clients. Set lifecycle status to “Active” for current clients, assign an account manager, and set their SLA tier.

Tip: If you have an existing client list in a spreadsheet, use the Import CSV button on the Accounts page to bulk-load your clients in one step. See the Importing Data guide.

Add a contract and capture MRR

Open an account, go to the Contracts tab, and click New Contract. Contracts are where your MRR lives.

Each contract has service lines — for example, “Managed Helpdesk at $85/user/month for 40 users.” The system computes MRR automatically from those lines. This data powers every revenue metric, dashboard KPI, and health score calculation in the app.

If you use a Service Catalog, set it up first in Settings → Service Catalog so you can quickly add pre-configured service lines to contracts and deals.

Configure your pipeline stages

Breadbox ships with 8 default pipeline stages, but you can rename, reorder, add, or remove any of them in Settings → Pipeline Stages.

Make sure at least one stage has the Closed Won flag enabled — this triggers automatic onboarding project creation when a deal closes. Each stage has a probability percentage that drives your weighted pipeline forecast.

Configure your health score

The health score is a 0–100 composite score calculated from signals like open P1/P2 tickets, days since last QBR, CSAT trends, and contract utilization.

In Settings → Health Score, you control the weight of each signal and the thresholds for GREEN/YELLOW/RED. Use the live preview to see how changes affect scoring in real time. Accounts below the alert threshold automatically trigger a notification to their assigned account manager.

Recommended next steps

Once your core setup is complete, explore these areas to get more value from the platform:

  • Activate workflow templates — enable “At-Risk Alert” and “Renewal Pipeline” templates immediately. These two workflows alone will save you from missing critical client situations.
  • Add custom fields — extend any object with fields specific to how your MSP operates.
  • Customize your dashboard — add, remove, and rearrange widgets to match your role and priorities.
  • Learn advanced filtering — build powerful AND/OR filter conditions on any list page.
  • Connect your PSA integration in Settings → Integrations to power the ticket volume, CSAT, and billable hours health score signals.
